Back to School Rhythms with 4 Kids

One of the things I was MOST nervous about before having our 4th baby was the fact that my due date was 2 weeks before school started! Having a first grader in a University Model School (Milly in class on Mondays and Wednesdays and she homeschools with me Tuesdays, Thursdays and Fridays), with 2 preschoolers at a different school than Milly, and a newborn baby who needed to eat every 2-3 hours was quite overwhelming to me! While I had a few days of feeling panicked, thinking how in the world am I going to be able to do this, I decided to try to get a game plan of help in place and put in place rhythms that would help me. I listened to this class called the Back to School 3 R’s and it reminded me of practical ways I could train my kiddos to be more responsible and help themselves instead of relying on me for every little thing! Many of my ideas listed below come from that class, and some others are things we’ve just done on our own.

Here are 5 things that have helped this transition back to school run much more smoothly than I even anticipated!

  1. Worship Playlist for our drives
    There is something SO powerful about getting our minds and spirits singing praises on the way to school! It cheers up some of our grumpier mornings and honestly, it helps me get my heart right on hard days too.

  2. Clipboard Checklists
    My girls, ages 6 and 4, each have a morning checklist, afternoon checklist, and evening checklist. They only have to complete them Sundays through Thursdays, and they get a reward at the end of each checklist if the complete everything by the time the timer goes off! I made them in Pages, and I grabbed the icons through Canva.

  3. Time Timer
    I cannot say enough about this timer. It is such a helpful visual for kids who literally have zero concept of time! Before we leave in the morning, I set the timer in front of them, and they know that when it goes off, we hop up and get in the car to leave. Same for before dinner, same for bedtime. THEY are responsible for doing their checklists, and only when they check everything do they get to watch TV, read a book, etc! It helps them understand time and manage it at an early age. It takes a few days of getting used to (and saying “I’m sorry, but you can’t watch TV because the timer just went off!”) but it is so worth it once they catch on!

  4. Weekly Family Meetings
    We are juuuust starting this one. But I can already tell it’s going to be a sweet little rhythm for us. It goes a little something like this:
    - Share encouragement for each member of the family (What do you love about ___? Then we each take a turn sharing uplifting words for that person)
    - Go over weekly schedule
    - Share our feelings (when they get older, we can discuss problems / issues)
    - Pay them for their work / chores
    - End with a game or family activity! (Last week we did the hokey pokey, ha!)

  5. Organized Grandparent/family help for the first 2 months of school
    Asking for help is so hard. SO hard. I want so badly to be able to do everything myself and not feel like an inconvenience. But what I’ve learned is that A) I CANNOT do everything in this season of life and B) the grandparents actually like to help! They just need details, communication, and planning ahead. So I got a game plan / loose schedule outlined before Benji was even born, of pick ups and drop offs for school and preschool in September and October. It has made ALL the difference. Also I know that this won’t last forever - it’s just helping me get on my feet with 4 kids. I’m so blessed to have grandparents who live close and I never, ever want to take that for granted!

The Secret to Our Team Meetings

Wanna know the secret to our team meetings?

Stick to a planned agenda!

Here’s a glimpse behind the exact agenda we use for every single team meeting:

NRP’s Level 10 Meeting Agenda
(as adopted from Traction)

5 Minutes – Prayer and Good News – We each share brief personal and work good news
5 Minutes – Scorecard Review – We report on our individual scorecards that we fill in weekly, where we succeeded and where we struggled
5 Minutes – Rock Review – We simply say “On Track” / “Off Track” to our quarterly “rocks” or goals
5 Minutes – People Headlines – We share positive and critical feedback we hear from clients or followers
5 Minutes – Scheduling Equipment – We added this part in! Since we are a team, we need to touch base on a regular basis about scheduling and renting equipment
55 Minutes – Issues List – We take the bulk of our time to tackle and “issues” we are currently facing. This can be anything from branding to bookings to technical questions. ANYTHING that is an issue!
5 Minutes – Action Items due by next meeting – We leave with clear individual action steps
5 Minutes – Rate this meeting on a scale of 1-10 – We each go around the room and rate the meeting!

Typical business meetings are boring, they drag out too long, they pertain to everyone else there but not me, or they feel like a waste of time.

At least that’s how I always felt, and to be honest… that’s how I ran our team meetings for a long time.

UNTIL I was introduced to a Level 10 Team Meeting!

Over the past year we have been integrating the Entrepreneurial Operating System (EOS) into Nancy Ray Photography, and we have loved it. EOS comes from the book Traction, and it’s a simplified, thorough way to run your business. ANY business. Truly – it can be applied to a small business like mine, but there are several multi-million dollar businesses that use the same model.

It’s brilliant.

The Level 10 Team Meeting comes from EOS. This meeting agenda is one small part of EOS, and you’ll read about “Scorecards” and “Issues” and “Rocks” in this blogpost. If you want to find out more, I highly recommend reading the book Traction – or listening to it as an Audiobook!

Here are the meeting guidelines:
• Meet at the same exact time, for the same amount of time, every week.
• Follow the Agenda as outlined, being extremely respectful of time
• Come prepared, and plan to leave with action items

Once we began using this Level 10 Meeting Agenda, we all felt valued, included, and like it was a huge benefit to our team and our time – not a waste! It has been a game changer in moving our goals and our team forward.

Our favorite part of the meeting is the last section: rating the meeting! In the world of NRP, it gets a Level 10 if we covered solid content, if we started and finished on time, if we stuck to our agenda, if we had yummy food, and if someone cried (which usually happens). We always strive for a Level 10!

And because we like to make our team meetings more fun, we occasionally make it a themed meeting. We’ve done Cinco de Mayo, Halloween Costume Party, and Valentine’s.

You ready for the BEST EVER Fourth of July Playlist? I got you! I created this a few years back, and every year we put it on repeat and blast it. It’s VERY patriotic. We love our country and I get all emotional listening to it each year, thinking about the sacrifices made to get us where we are today. I hope it makes your 4th even better!

Here’s the deal: PLEASE BE PATIENT WITH ME! I have a lot that I want to cover, and TBH, not a lot of time. I’m committed to working only 3 days a week, while stopping to feed a baby 3x a day. My current focus is on finishing NRP well and serving those clients. That includes managing my team and leading them well! Then there’s the podcast : my next priority. It takes more time than you might think to get out an episode every week! Then there’s the blog. So these things are coming - but it just might take a bit of time!
